STUDENT PASS
To study in Universiti Malaysia Sabah (UMS), you must have a valid student pass. A student pass is temporary visa that allows students to come to Sabah for a specific period to study at UMS. In order to obtain a student pass, a candidate is required to apply for visa approval letter (VAL) 2 months before entering Sabah. Please ensure your current passport must have validity of minimum 18 months.

DO NOT PURCHASE YOUR FLIGHT TICKET UNTIL YOU HAVE OBTAINED THE VISA APPROVAL LETTER (VAL).
Renewal Visa___

Students are responsible to monitor the expiry date of their Student Pass. Students are required to submit the required documents for a renewal of Student Pass three (3) months before the expiry date.
(I.e. Student pass expiry on 1 January 2020, you can submit renewal by 1 October 2019)


Students who are late in submitting their application for the renewal of Student Pass will be required to pay a penalty and UMS may impose fine.

The process may take approximately 14 days or more (from the date of your passport submission to us). You should NOT make any travel arrangement before you obtained your visa approval.

Over stay___

Staying in Malaysia beyond the period allowed is a violation of section 15(1)(c) of the Immigration Act 1959/63, an offence under section 15(4) of the Act. Section 15 (4) of the Immigration Act 1959/63 (Act 155) provides a fine of not less than RM10,000 or imprisonment not exceeding 5 years or both.

You may be blacklisted to enter Malaysia for a period of time in accordance with the Immigration Act.


Attendance Requirement___

To renew your student pass, you have to fulfill the minimum requirement by the Ministry of Education Malaysia for international students to maintain a minimum 80% attendance and a minimum CGPA of 2.0 every semester.

Non-compliance to the attendance requirement will result in:
  1. Notification to the police, Ministry of Education Malaysia and Immigration Department of Malaysia; and
  2. Cancellation or non-renewal of your student pass resulting in your course discontinuation

Students who have completed their studies must cancel their student pass and their dependent pass. This also applies if the students  decide to intermit, discontinue, or transfer to another institution. CIGE gives an instruction to the Sabah Immigration Department to cancel the student pass and make a police report if the student fails to cancel their pass upon graduation.

Please visit CIGE to cancel your student pass.


These are the documents need to prepare:


  1. Original passport
  2. Two copies of the passport details pag
  3. Two copies of current student pass
  4. A copy of air ticket (return to home country)

Note: Malaysian Immigration can take up to 14 working days to cancel your pass. 

Changes to processes for cancellation of student pass

1. International students who have completed studies:

      1. You need to be physically present in Malaysia for the cancellation of your student pass and the process will take approximately Four (04) weeks. You need to make the necessary arrangements to leave Malaysia within 45 days upon release of results for your final semester of study.
      2. Failure to cancel your student pass will result into difficulties to apply new student visa if you wish to further study in Malaysia.

2. International students applying for intermission or discontinuation or unable to continue with studies due to suspension or exclusion:


  1. As soon as you become aware of your circumstances, please consult CIGE and submit the relevant documents together with original passport and proof of purchase of a confirmed air ticket to your home country.
  2. You need to be physically present in Malaysia for the cancellation of your student pass and the process will take approximately 4 weeks.
  3. If you leave Malaysia before completing item (1) above, you will need to return to Malaysia to complete the process.

  • APPLY A NEW VISA

In order to obtain a student pass, a candidate is required to apply for visa approval letter (VAL) 2 months before entering Sabah. Please ensure your current passport must have validity of minimum 18 months.

  • COMPLETE APPLICATION FORM
    • Fill up and download the application form for Visa Approval Letter (VAL) after receiving the offer letter. The list of requirements for VAL is as stated on the checklist form. Please read it carefully.
    • Please ensure your current passport must have a validity of a minimum of 18 months.
    • You are required to apply for a VAL 2 months before the registration date as stated in the offer letter. The application process may take around 4 – 6 weeks subject to Sabah Immigration Department approval.
    • Please send your complete form VAL application within THREE (03) DAYS upon receiving your offer letter from UMS.

  • OBTAIN A SINGLE-ENTRY VISA
    • Gentle reminder: Please check the procedure to enter before departure to Malaysia.
    • To apply for SEV, please prepare the following documents for submission to the nearest Malaysian Missions as stated on the VAL:
      • Copy of your offer letter
      • VAL issued by the Immigration Department of Kota Kinabalu, Sabah, Malaysia
      • Your original passport
The process of obtaining the SEV will take 07 – 14 working days. 
Note: The application to enter Malaysia will be vetted by the Malaysian Immigration Department before students are allowed to travel to Malaysia.

  • UPON ARRIVAL IN SABAH 
SPECIAL PASS

The Sabah Immigration Department at the entry point will grant a special pass for 30 days by providing the offer letter, VAL and SEV.

You must submit your passport for a student pass sticker endorsement to the Centre for Internationalisation and Global Engagement UMS, Level 5, Chancellery Building, UMS within 2 working days upon arrival in Sabah. 


MULTIPLE ENTRY VISA


In order to get a visa and Student Pass, you are compulsory to do the medical health screening within 7 working days upon arrival to Sabah.

INSURANCE


Insurance is a must and is compulsory for all students who study at UMS. Insurance must cover the entire duration of your study in UMS. It is compulsory in UMS due to its own policies and benefits depending on the individual. The insurance purchased in the student’s home country may not be recognized in UMS. CIGE will advise your insurance on your new application/renewal. 

  • Cost for the student pass endorsement:
Medical examination: RM350.00 

Insurance (Tokio Marine): RM550.00/y
